A third-party logistics operator was rekeying every customer order from email and portals into its warehouse system. We replaced the whole path with a monitored ingestion pipeline.

The Challenge

Orders arrived as email attachments, portal exports, and the occasional spreadsheet. Four coordinators spent most of their day rekeying them into the warehouse management system, and a mistyped SKU was not caught until a customer complained.

What We Built

Built a single ingestion service that normalises orders from email, SFTP, and three customer portals into one schema.

Added validation against live inventory, with anything ambiguous routed to a review queue rather than guessed.

Connected the pipeline directly to the WMS API with idempotent writes so retries could never duplicate an order.

Instrumented every stage with alerting, so a failed batch pages the on-call coordinator within minutes.

The Result

Order entry is now hands-off for the large majority of volume. The coordination team moved onto exception handling and customer service, and the error rate fell by an order of magnitude within the first month.
